Position Personal Assistant to the Management Board
Job Description

Overall Purpose of Job:
The Personal Assistant (PA) to the MB will be responsible for giving full administrative and secretarial support to the Management Board (President and 4 other board members), under appropriate direction, in accordance with agreed standards and in adherence with all relevant internal and external regulatory/statutory requirements for MBE.

The PA, will have a functional reporting line to the members of the Management Board and a direct reporting line to the Head of Planning Division.

The main role of Planning is to ensure that business activities contribute to sustainable growth in MBE with safe and sound governance. There are three key aspects to this. The first is supporting the MB in planning the business strategy and promoting it. The second is developing the governance framework and infrastructure to support safe and secure business operation. The third is guiding and supporting the respective business activities of the MBE branches.

Job Requirements

Essential Functions*:
• Manage all management meetings logistics (incl. Townhall meeting);
• Facilitate the orientation of new members and assist in members training and development;
• Planning and executing communication activities and advertisement (Website renewal, etc.)
• Supporting and administrating projects such as; the MUFG Branding etc.
• Secretarial tasks for the MB members, such as; Business travel arrangements (outgoing / incoming), manage diaries, arranging and prioritising appointments and organising meetings, conference rooms, etc.;
• All above responsibilities should be performed in compliance with the MBE’s common & internal rules, standards, and reporting requirements, together with all relevant regulatory and statutory requirements, where appropriate implementing actions to protect MBE’s at all times;
• Identify, review and where appropriate implement improvements to processes / procedures / systems related to the role;
• When required support, plan, communicate and implement both central/global and locally driven changes ensuring such changes are implemented with the minimum of disruption to services;
• Provide a wide range of information, guidance and advice to management and stakeholders, resolving customer queries, ensuring that the recipient clearly understands the nature of the information being provided;
• Perform and control allocated administrative tasks, plan and organise workflow and resources so that the daily workload is completed to the required standard;

Education:
The function requires an intellectual and working background at HBO level (professional economic/administrative education).

Work Experience:
The function requires experience in a similar function or relevant area.

Functional/Technical Skills and Knowledge requirements:

Good understanding of MUFG’s overall strategy and goals, structures, policies and culture together with a detailed knowledge and understanding of the MBE’s, policies, rules, guidelines and practices.

The function also requires knowledge of and experience with automated database storage and processing and desktop IT skills. The employee keeps his/her knowledge and skills up-to-date by reading internal bulletins regarding his/her area and by external or internal education.

Advanced English and Japanese. Additionally: Dutch language skills can be an advantage.
